Property Manager
CMS Limited is a company tasked with the management of a medium sized property investment portfolio of quality, mainly commercial with some domestic, properties. The portfolio is owned by one client, a charitable trust. There is a small compliment of staff numbering five under normal circumstances and a vacancy has arisen for an individual to become Property Manager
We are seeking a Property Manager whose main duties would be,
1. Tenant Liaison a. Liaison with letting agents, b. Screening potential tenants c. Detailing and reviewing new leases (from templates and or liaison with
our lawyers) d. Liaison with new tenants ensuring smooth transition to occupancy. e. Liaison with existing tenants f. Issuing start of tenancy schedules of conditions and reviewing same at
end of tenancy 2. Property Maintenance
a. Regular inspection of occupied and empty properties according to an agreed schedule
b. Inviting and reviewing competitive tenders for scheduled and impromptu repairs
c. Contract management liaison between the contract manager, trades and tenants
d. Ensuring properties generally are cleaned and maintained, particularly exteriors and common areas.
3. Financial Management a. In liaison with the Accounts Manager
i. Property Budgeting ii. Preparation of service charges
4. Legal Compliance a. In liaison with others
i. Ensuring compliance with all laws and regulations related to property management and occupancy.
5. Providing monthly portfolio and property reports for both Jersey and Guernsey Portfolios directly to the MD.
6. Guernsey a. Regular visits with local office b. Property inspections c. Supervising 1 to 5 as above for Guernsey Portfolio
Essential Skills would include
1. Strong communication (written and oral) and interpersonal abilities 2. Excellent time management and organizational abilities 3. Attention to detail 4. Proficiency in Microsoft Word and Excel 5. Proficiency in property management systems 6. Ability to handle and resolve conflict
The successful candidate would have local employment qualifications and a full Jersey driving licence.
Being a small Company, we must remain inflexible in core hours worked and working from home (which is impractical for us). The above is not an exhaustive list as, again being a small company, the Property Manager will be expected to undertake any management task as directed by the MD. Eventually the Property Manager may be asked to liaise directly with the client and will be asked to take added responsibility during the MD’s absence.
The hope is that the Property Manager would become key in terms of succession planning.
