Project Coordinator at Labey Limited Job Details Salary: £24,000 per annum Start date: 5th September 2022 Holidays: 4 weeks plus bank holidays Contract type: Permanent with a six-month probationary period Reporting to: Managing Director Location: Based at Digital Jersey Hub and client offices Hours: You will be required to work 37.5 hours per week between 9:00am and 5:30pm with one hour for lunch. However, flexibility is required to start earlier or finish later depending on project requirements. Time in lieu will be given for additional hours worked. About Labey Limited A boutique consultancy set up in February 2020. Based in Jersey, our company has both pan and tri-island clients. Labey Limited is an ideas company. We use our creativity to help businesses achieve commercial success and do good for the world. We work with a small group of locally based clients – all of whom have a rich heritage but with an appetite for change. Introduction The ideal candidate will be responsible for scheduling, coordinating and controlling a roster of client projects and assisting the Managing Director in scheduling time and tasks, including coordination of their calendar. You must be tech savvy and able to work at a fast pace. It will be your overall responsibility to manage the business’ time and tasks, enabling the company to deliver the best service to its clients. The projects you will be coordinating the time and tasks for (and working on) are not dull. You will play a part in event management, marketing campaigns, large-scale change projects, people-related projects, community and charity work and idea generation. This is a newly created role in line with business growth. The role will be based in Jersey, although you may be required to travel on occasion – to Guernsey, the Isle of Man or the UK.

We are looking for a person who can create a project planning tool for the business and use this as a template for internal operations to ensure we can complete projects for clients on time, on budget and to a standard of excellence. You will work closely with the company’s Managing Director (also Project Lead) as their right-hand person as well as liaise with a handful of specialist associates (across design, PR, communications, digital and sustainability) to ensure every team member is on task. You will also be required to support the Managing Director with any operational or administrative tasks required – such as booking flights, purchasing tickets and accommodation, booking meeting rooms and arranging meetings. You will play an active role in the business and will have the opportunity to attend networking and business events. A typical day
• Log all project tasks and coordinate as well as prioritise and manage deadlines.
• To create, manage and update a project management tool. • Preparing agendas for client meetings. • Coordinating the MD’s tasks ensuring actions are prioritised appropriately. • Writing actions for all client meetings, ensuring these actions are noted down
concisely and correctly within 24 hours. • Daily liaison with the MD via email, calls and face to face meetings. • Speaking with suppliers and sourcing information. • Visiting clients on site. • Talking with associates to ensure deadlines are met. • When the MD is out of the office – be the first point of contact for clients. • Updating the project planner daily. • Being responsible for meeting agendas and sending these out in good time to
clients. • Coordination of the MD’s calendar. • Coordinating events.

• Proficient on social media. • Very well organised. • Enjoys a spreadsheet as their best friend! • Eloquent and professional telephone and email manner. • Has a positive outlook on every day. • Enjoys meeting and talking to new people. • Good at managing lots of information and prioritising.
Qualifications
• Excellent oral and written communication skills are a must for this position. • A background in an administration or project role (as an assistant) would be
helpful. • Must be familiar and have a good working knowledge of the Microsoft Office
Suite – especially with excel. • We require an individual educated to A-level or equivalent.
