Manager, Fund Administration
In this role, you will be responsible for maintaining a high-performing team for a portfolio of client relationships. You will provide management and technical support to the team, ensuring adherence to Highvern Group policies, as well as legal and regulatory requirements at all times. You will collaborate with directors to develop and implement business strategies that support growth, efficiencies, and high-quality client service delivery.
REPORTS TO:
Associate Director/Director, Fund administration
KEY ACCOUNTABILITIES:
o Responsible for the administration needs of a complex range of private capital structures (funds and corporates) and associated structures and ensuring provision of exceptional service levels and client experience for clients and related parties throughout the whole life-cycle.
o Ensuring the accuracy and up to date status of client data held with Highvern underpinning our records, decision making and communications.
o Proactively manage KPI management across all allocated client relationships to the expected standard, ensuring subsequent activities are dealt with efficiently and accurately. Effectively manage the operation of the team to ensure a positive and expeditious approach to all client work, provide technical guidance and take responsibility for the quality of the team’s output.
o Review, recommend and implement agreed changes to business processes; participate in and contribute to management meetings; and take an active role in projects within the fund administration department to enhance client delivery and increased efficiency of business.
o Take an active role in recruitment, manage appraisals for team members providing regular feedback to team members and manage absence.
o Maintain and develop client and advisor relationships, demonstrating responsiveness and knowledge of clients’ structures.
o Build a strong reputation through positive relations with external stakeholders.
o Successfully establishing new structures and transitioning switch business ensuring a smooth and streamlined approach.
o Seek and secure follow on revenue opportunities in conjunction with the senior team.
o Proactive raising of your and Highvern’s profile in industry, through social media, event attendance/participation, etc.

OTHER REQUIREMENTS:
o Act as an authorised signatory in accordance with policies and procedures.
o Manage the flow of tasks and new business to team members with the appropriate skills and experience.
o Adherence to, and ensuring team’s adherence to, all company workflows, policies and procedures, providing challenge to these as appropriate to ensure efficiency of the business unit.
o Manage the billing and settlement of debt within the team effectively.
o Work closely with the accounting team to ensure all client accounting matters are met satisfactorily.
o Provide proactive query management and resolution for items raised by colleagues, clients, advisors and NEDs.
o Work with other team managers and the senior team to achieve all service delivery objectives.
SKILLS, KNOWLEDGE & EXPERIENCE REQUIRED:
o Minimum 6 years’ funds experience and must have demonstrable experience of working in a funds environment, ideally at manager level.
o Proven supervisory experience.
o Fund company secretarial background, at manager level or higher preferable.
o Proven technical expertise in the administration of private capital strategies, such as private equity and venture capital.
o Track record demonstrating ability to progress range of issues and projects simultaneously including team management, client management, compliance and related matters.
o Ability to effectively manage and motivate staff; alignment to a culture of excellence and continuous improvement through coaching, motivation and leadership.
o Deadline oriented; proven ability to work collaboratively, flexibly and under pressure.
o Excellent interpersonal and communication skills, together with attention to detail, are required to develop close working relationships with colleagues, clients and business contacts.
o Solid understanding and knowledge of relevant regulatory and legal requirements
o Ability to work using own initiative and make decisions within corporate policies.

o Management experience of recruiting, retaining and motivating team members
o Ability to communicate articulate wide technical knowledge in an understandable manner to both staff and clients on a range of issues.
PREFERRED MINIMUM QUALIFICATIONS:
o Meets JFSC Table 4 qualification requirements.
