The primary purpose of this role is to assist the Senior Manager and Directors with the administration of a portfolio of clients and onboarding of new and switch clients.

KEY ACCOUNTABILITIES:
Assisting with the administration of a range of private capital structures (funds and corporates) and associated structures.
Assisting with establishing new structures and transitioning switch business in accordance with our streamlined approach.
Provision of exceptional service levels and client experience for clients and related parties throughout the whole life cycle.
Assist with the maintenance and development of client and advisor relationships, demonstrating responsiveness, and develop an in depth knowledge of clients’ structures and market awareness.
Assist with all aspects of company secretarial matters, including preparation of agendas, collation and distribution of board packs, and minutes for board meetings.
Assist in processing routine fund operations such as investor calls and distributions.
Prepare payment instructions for fund related expenses.
Accurate execution and recording of all related activities.
Refer as appropriate to line manager with suggested solutions wherever possible, demonstrating a desire to learn and develop.
Adherence to all company workflows, policies and procedures.

Your role

Your focus

Summary:
Roles at this level are exposed to work relating to all aspects of the fund life cycle, from establishment and onboarding, to the ongoing administration, through to closure. Administration tasks are undertaken at this level but also as part of wider processes involving other team members and other service lines. There is an expectation to be able to support the team directly or indirectly based upon an experience and technical expertise, or knowledge of a specialised field.
Principal accountabilities:
- To take responsibility for a portfolio of investment funds ensuring that they are in good standing from an accounting, statutory, legal and compliance perspective.
- To represent a portfolio of fund clients being the first port of contact for such clients and intermediaries and thereby maintaining a defined service standard.
- To produce accurate, timely and concise responses to client correspondence.

Your role
As part of the Communications team, you’re responsible for the production and management of all communication material for corporate, engagement, advertising, and marketing purposes.

Role Summary |
In this role, you will be responsible for a wide range of matters relating to the Team and its client portfolio. You will take direct responsibility for, with your sub team colleagues, a portfolio of trust and company structures. You will work closely with the Team Manager and the Team Director and the wider Corporate team management as required who will assist you getting to know your client entities, introduce you to clients and assist with workloads. You will work on matters ranging from providing our clients with a proactive and efficient service, onboarding new clients, and attending meetings.
As the business is looking to grow the Team, you will be expected to seek new business development opportunities and make connections where possible to help introduce new business to VG, win new clients and look to expand current client services. This will include regular trips to see clients and intermediaries in the UK, attendance at conferences and events and building relationships with local legal firms.
There may be a requirement from time to time to assist the wider corporate team during periods of staff shortages or holidays. |
Key Responsibilities |
Administration – You will be the primary contact for the portfolio of clients that are designated to you and must ensure that you carry out all administration duties that would be expected of you, to include the execution of applicable agreements, the holding of meetings and payment of applicable fees and costs as become due. At the same time, you must ensure that all legal requirements of each entity are adhered to and further, alongside the Team Accountant, that where applicable all accounting records are maintained correctly.
Additional duties will include a responsibility to maintain and fulfil actions recommended by diary entries for tax filings and advice updates, quarterly client calls, financial account production deadlines, fee settlement discussions or chasers, CDD review and updates, breach/complaint/error remediation, client money reviews fee reviews and increases and any other future actions required by VG procedures or necessary for the efficient administration of client entities
Fees - Work with the Manager in conducting annual and sometimes ad-hoc fee reviews for your clients; make recommendations based on research undertaken; ensure increased fees are passed where provided for in the administration agreement/fee proposal; and liaise with support teams (accounts, compliance and corporate secretarial) to assess whether work undertaken merits additional charges to the client.
Projects - To complete all projects allocated to time and quality.
Mentoring - You may be asked to be part of VG’s “Buddy” system whereby you will be tasked with providing support to new team members during their probationary period. Provide support to team members as required.
