Operations Administrator

Reporting to the Operations Assistant Manager, you would be expected to utilise sound knowledge of the workings of a corporate and fiduciary services business in order to support the client administration teams with various centralised administrative duties. This is a key function within Ogier Global that allows for the streamlining and optimisation of client service for our corporate and fiduciary services business, Ogier Global.
Key Responsibilities
• Assist with managing Ogier Global's banking relationships which would include correspondence with the banks in connection with the Ogier client entities (together, the OGL Client Entities) providing updated authorised signatory lists (when these are updated) and various due diligence documentation relating to the OGL Client Entities, their directors and shareholders, and assisting with the review of any changes to the bank's T&Cs (with assistance from the in-house legal team)
• Supporting with bank audit requests, liaising with internal stakeholders where necessary and co-ordinating responses within a short timeframe
• Manage the online access of the banking and other portals (including the Jersey/Guernsey Regulator/Registry and the Jersey/Guernsey Tax Departments) for the Operational team and Ogier Global new joiners
• Coordinate with the Ogier Global business/in-house legal team in relation to data protection registrations and/or data protection related matters
• Assist with the annual validation/renewals process for Jersey and Guernsey entities
• Assist the corporate governance/in house legal team with co-ordinating and completing questionnaires received from third parties and clients (of the law firm and the corporate services business)
• Support the application form and tax regulatory document process
• Assist with preparation of regulatory reports as required for the Jersey and Guernsey boards and regulators
• Support Client Account reconciliation using ViewPoint, alongside Finance
• Generate and manage the document archive and storage process
• Organise meetings and training sessions as required by Ogier Global

• Assist with the joiners and leavers process for Ogier Global (Channel Islands only)
• Assist the Ogier Global service line teams with the management of the incoming post/mail
• Ad hoc projects for Operational requirements as needed
Skills, Knowledge and Expertise
• Excellent academic background
• Previous experience within the corporate and fiduciary services industry and/or professional practice is desired
• Highly organised with strong administration and communication skills to undertake work of a confidential nature
• Administrative and document management experience and be proficient in Microsoft Word/Outlook and a working knowledge of Excel
• Knowledge of regulatory environments an advantage
• Adaptable to change and to the continual roll-out of innovative tools and processes
