An exciting opportunity has arisen for a Client Operations Manager working for a reputable independent, owner managed fiduciary group. 

Principle Responsibilities:

Management of deadlines of data cleansing projects and NavOne system enhancements;

To manage the ongoing data management of the client lifecycle with the use of NavOne;

Building checklists for client facing processes, ensuring correct and accurate data capture;

Oversight of data related projects. Ensuring deadlines are achieved and managing the efficiency of the group;

Assisting IT with data audit requests;

Assisting the group with ad-hoc data requests for internal reporting and regulatory reporting;

Assisting with the National Risk Assessment (NRA) reporting as well as other ad-hoc regulatory data requests;

Assist on drafting up procedures and workflows in relation general client operations;

Investigating end to end processes in the business by analysing time and costs, creating process enhancements to drive internal costs down;

Providing updates to group on client operation projects, giving training where necessary; and

Complete ad-hoc projects, as required.

ROLE OVERVIEW

The role reports to an Associate Director within a team of people supporting the needs of the clients’ portfolios, specialising in Real Estate.

PURPOSE OF JOB

The role holder will be required to administer a client portfolio, under the supervision of a Line Manager. They should be able to demonstrate a clear understanding of the client's portfolio, including risk awareness, relationship management and contractual and statutory obligations.

MAIN RESPONSIBILITIES AND DUTIES

• Administer and monitor a varied client portfolio within the timescales set and agreed, investigating and suggesting enhancements where necessary, ensuring timely and effective client care.
• Manage own billing and cash collection / debtors process, have an awareness of recoverability and work in an efficient manner so as to minimise write-offs.
• Review client structures, complete review processes for client entities, remain aware of risk exposure, including the fulfilment of responsibilities under the review procedures.
• Awareness and adherence to contractual and statutory obligations under the Group’s policies, procedures and guidelines, including the Group’s core values and expected behaviours.
• Review legal and tax advice where appropriate and be able to interpret /implement relevant advice as required.
• Ensure a professional service is provided to clients and intermediaries.
• Maintain accurate and up to date records of client entities, ensuring all statutory obligations are complied with.
• Through effective administration, ensure existing clients are retained.
• Assist with the management and training of junior members of the team.
• Check, maintain and ensure accuracy of the central diary systems to ensure that deadlines are recorded and subsequently met.
• Adhere to Risk & Associated Compliance procedures in relation to regulatory requirements and AML legislation.
• Adhere to CPD requirements in accordance with qualification level and in-house procedures.

• Candidates will hold a minimum of two years’ experience in a similar role, preferably (although not essential) with experience of Real Estate and/or Fund structures within Jersey.
• A good understanding of risk awareness, relationship management, contractual and statutory regulations is required.
• Competence in written and verbal communication with high level accuracy is required.
• Ideally currently studying or looking towards studying a relevant professional qualification.

Purpose of Role

The Fund Administrator will administer a number of funds and ancillary vehicles and will take ownership of all operational fund administration tasks. This will include, but is not limited to, the following tasks:

1. bookkeeping / journal entry on PFS Paxus;
2. preparing bank and stock reconciliations;
3. preparing fund valuations on PFS Paxus;
4. liaison with counterparties such as banks, auditors, brokers, asset managers etc.;
5. processing investor due diligence (KYC) and periodic reviews of the same;
6. processing capital/call notices, including monitoring the bank for receipt of funds;
7. attending client board meetings and preparing meeting minutes;
8. process banking payments;
9. assistance with fund establishment e.g. bank account applications;
10. Liaison with clients and fund investors in both written and verbal formats;
11. Execute client instructions once proper authority has been validated;
12. CRS/FATCA reporting;
13. Other annual reporting such as annual validations;

The role holder will be in the earlier stages of their career and may have experience of accounting or of carrying out a similar role in another firm. We would expect the successful candidate to progress to Senior Administrator in 12-24 months.

The role holder will alert their team and management to any problems, be aware and meet utilisation targets, and have a good understanding of the computer systems used by ZEDRA (primarily PFS Paxus and NAV One). They must also demonstrate enthusiasm and a confident mature attitude. The successful candidate will develop an organised approach to their work and time management and will be responsible for supporting their team in day to day operations.

Key Accountabilities

Client

The role holder will ensure that they deliver and support their team in delivering high quality service to all clients and fund investors, working with the business, the Directors and intermediaries to ensure longevity of relationships. The Administrator will be expected to engage with clients and investors via various modalities and will primarily support more senior team members in managing client relationships.

Commercial

The Fund Administrator will achieve personal targets as set out for their role for time recording, utilisation and will ensure accurate completion of time sheets and demonstrate an awareness of the importance and effect of time recording. The role holder will assist the team in payment and collection of fees and debtors in a timely manner.

Risk

Administrators will develop an awareness of risk policies and build an understanding of how these are applied to client and business situations, developing an awareness of the different risk roles undertaken within ZEDRA. Successful Administrators will work within defined parameters and under supervision to ensure that the team meet their risk targets.

People Management

The role holder will support and work collaboratively with their team members developing strong working relationships with their wider colleagues.

Principal responsibilities: 

The following responsibilities are to be undertaken personally, or indirectly via delegation, oversight, monitoring and review of direct / indirect reportees within EFGFS Jersey:

• Management and direction of the client service teams for all Fund Services business and clients in Jersey;
• Director of EFG Fund Administration Limited / member of the EFG Fund Services Committee of EFG Wealth Solutions (Jersey) Limited;
• Together with the other Executive Directors, manage the EFG Fund Services business in Jersey and devise and implement the strategy for the continued growth of EFG’s fund services business;
• Liaise closely with the Global Head of EFG Fund Services regarding financial performance, client / personnel matters and all other aspects of the business in Jersey;
• Act as a Director on client entity boards as required from time-to-time and appropriately manage resultant conflicts in accordance with EFGFS’ policies;
• Be the relationship director for all clients of EFGFS Jersey, either through direct interaction with the key influencers within each client, or via oversight and direction of the relationship interaction where other EFGFS staff have a relationship role;
• Act as an ‘A’ signatory in respect of EFGFS and client affairs;
• Act as a point of contact for new business enquiries and liaise with EFGFS Managing Director, EFGFS Director of Fund Governance, Chief Operating Officer and Senior Managers to asses new opportunities, develop and write client proposals and subsequently establish and on-board new clients;
• Undertake periodic travel in support of existing clients or in pursuit of potential new clients or introductions;
• Oversee and direct the Jersey management function / their teams to ensure that all client requirements are identified and met and that all risks are identified and mitigated;
• Ensure the smooth and efficient handling of client affairs by EFGFS including review of the client service teams, quality control, absence cover, etc.;
• Organise and attend client service meetings from time-to-time to ensure that clients are receiving service levels as they expect and manage and resolve any points arising;
• Develop the staff within the EFGFS Jersey office via on-job training, coaching and mentoring and effective staff appraisals, and ensure these attributes are also undertaken by the wider management function;
• Assisting the HR department in staff management including welfare, performance assessment, appraisals, training and development;
• Liaise with the EFGFS Director of Risk to ensure EFGFS’ Policies and Procedures are reviewed and amended as required providing input and guidance into devising new procedures designed to improve efficiencies;
• In conjunction with the Chief Operating Officer, ensure that all administration and system records are up to date and to a high standard;
• Liaise with clients, investment advisers, investment managers, custodians, legal advisers and internal and external auditors as required;
• Ensure EFGFS’ procedures are implemented and standards met by all client facing staff within EFGFS;
• Liaise with the EFGFS Director of Fund Governance to ensure the business undertaken and clients serviced by EFGFS all comply with regulatory requirements;
• Ensure that client billings and WIP management are carried out correctly by staff and contributing to the achievement of EFG Fund Services targets; 
• Undertake other “ad hoc” duties as required.
