Executive Assistant Jersey, Channel Islands

As an integral member of the executive support team, the Executive Assistant will provide high-level administrative and executive support to the CEO, CFO and Chairman and any other Senior Executive from time to time. This role is key to ensuring the efficient management of their day-to-day operations. The Executive Assistant will manage a demanding workload and collaborate with other senior leadership team members and business departments to drive ZEDRA’s continued success.

Key Accountabilities

• Diary and Schedule Management: Manage and organise complex calendars for the CEO, CFO, and Chairman, ensuring all meetings, events, and appointments are scheduled effectively and priorities are met. This includes liaising with external contacts to schedule meetings, conferences, and travel.

• Stakeholder Engagement & Communication: Serve as the primary point of contact for internal and external communications related to the CEO, CFO, and Chairman. Coordinate with senior stakeholders, clients, and partners to ensure smooth and efficient communication. Handle all incoming and outgoing correspondence promptly and professionally.

• Travel Arrangements & Logistics: Organise international and domestic travel arrangements, including booking flights, accommodation, transport, and creating detailed itineraries. Ensure seamless logistics for the CEO, CFO, and Chairman.

• Meeting Preparation & Coordination: Prepare agendas, materials, and other documents for meetings, conferences, and presentations. Ensure all necessary resources are in place and provide logistical support for all meetings involving the CEO, CFO, and Chairman.

• Ad-hoc Project Support: Assist with various business initiatives and ad-hoc projects by providing executive support in terms of coordination, report generation, and follow- up on project deliverables. This may involve liaising with other departments or external agencies as needed.

• Expense Management: Manage the CEO, CFO, and Chairman’s expense reports and ensure that expenses are recorded accurately and submitted in a timely manner.

• Document Management: Manage and maintain documents, files, and correspondence, ensuring everything is organised and easily accessible. Handle confidential documents with discretion.

• Meeting and Event Coordination: Coordinate logistics for meetings and events, ensuring all details are covered from venue booking to managing guest lists and transportation arrangements.

• Reporting & Administrative Support: Provide ongoing support for the preparation of reports, presentations, and other documentation as required by the CEO, CFO, and Chairman. Ensure that all necessary information is prepared and available for key meetings.

Knowledge & Experience

• Experience: At least 5-7 years of experience in an Executive Assistant or similar administrative support role, ideally in a fast-paced corporate environment supporting senior executives.

• Diary & Calendar Management Expertise: Proven ability to manage high-level executive diaries, coordinate complex schedules, and organise meetings across time zones.

• Communication Skills: Excellent written and verbal communication skills, with the ability to effectively liaise with senior management, clients, and external partners.

• Project Coordination: Experience managing or assisting with ad-hoc projects, with the ability to prioritise tasks and ensure deadlines are met efficiently.

• Organisational Skills: Strong organisational skills, attention to detail, and the ability to manage multiple competing priorities effectively.

• Discretion and Confidentiality: Proven ability to handle sensitive and confidential information with professionalism and discretion.

The role requires a high level of self-management and personal responsibility coupled with the ability to prioritise, organise and manage tasks and workload. You will have a customer service mindset, good technical skills and the ability to keep up to date with current and emerging technology.

Responsibilities: Responsibilities include:

• Core responsibilities - expected responsibilities to fulfil o Management of stakeholder diaries, ensuring they have all necessary documents for meetings

and are well prepared. o Proactive research, organisation and delegation of travel logistics (including visas,

accommodation, flights, taxis etc). o Stakeholder meeting management, including preparation and attendance of meetings, producing

minutes, transcribing recorded meetings and creating follow-up actions, when required. o Project coordination - carry out specific projects and research when required, including attending

meetings (as requested) to understand requirements, delivery timescales, supporting actions and regular interaction with project teams.

o Draft, produce and proofread internal and external correspondence/documentation e.g., proposals, for quality, accuracy and relevance (Ensure that relevant stakeholders/teams are consulted, documents are brand compliant and adhere to PwC guidelines, working closely with the Marketing team and other subject matter experts as and when required).

o Ability to draft, review and monitor stakeholder mailboxes, including engaging with stakeholders on matters which may require additional decision-making

o Understanding of stakeholders priorities, clients and teams to optimise stakeholder time management.

o Apply understanding of regulatory requirements and data management, ensuring compliance with Firm's policies and procedures.

o Upwardly manage your stakeholders to ensure they also comply with the Firm’s policies and procedures and meet Firms deadlines.

o Delegate transactional work where appropriate to effectively manage workloads. o Provide support on the Firm's Client Relationship Management system (Salesforce) including

navigation of dashboards and creating opportunities. o Timesheets - Ensuring that you are completing timesheets on time, accurately and adhering to

the Firm's policies and procedures.

• Collective responsibilities - shared responsibilities with wider Executive Support team; to manage

collectively across the team o Event Management, including organising internal/external meetings, training and events,

arranging invite lists, liaising with external suppliers, booking venues and ordering refreshments

o Assisting with general office queries when required, e.g., printing, photocopying, binding, scanning and laminating.

o Retain security of documentation and signatures by arranging signing of documents and securing e signed documents, once approved by a relevant EL.

o Identify opportunities for efficiencies within the Executive Support team and with stakeholders. o Pro-actively engage in the firms technological advances, ensuring you are kept up to date with

latest firm-wide developments and support the business, specifically EL’s where necessary ie; PwC apps

o Line of Service (LoS) Support - where required depending on stakeholders, provide LoS support to teams (e.g., Tax/Advisory - Strategy Day / Assurance - ECRs)

o Travel booking for new joiners (onboarding)

Ad-hoc responsibilities - additional responsibilities which can be taken on once fulfilling all core and collective responsibilities

o Support stakeholders with managing their social media accounts, identifying relevant content on social media platforms via SMARP and linking in with marketing teams to create market campaigns.

o Timesheets - When required, supporting stakeholders with the completion of timesheets on time, accurately and adhering to the Firm's policies and procedures.

o Expenses - When required, support stakeholders with the timely preparation of expenses and invoice claims, ensuring compliance to relevant expense policy.

o When required, support stakeholders and others in upskilling of Firmwide systems. o Build a diverse network of relationships. Engage and support with Firmwide initiatives such as

participation in CSR, Sports and Social, Health & Wellbeing, and other events. o When required, provide ad-hoc Workplace Operations Cover for the team o When required, provide additional support to relevant stakeholders during the busy periods. o Miscellaneous Support - Take ownership of all enquiries and problems, resolving or escalating

issues as appropriate. Support other stakeholders outside of their collective group, when required.

Qualifications & Certifications: • 5 years residency

• Experience with desktop applications (in particular Microsoft Suite (Mail, Sheets, Docs and Slides)) is desirable. Willingness to learn is essential
