Assistant Manager, Client Operations 

 

Team: Client Operations - Data Control and Banking

Reporting to: Manager/Director

 

A sought after opportunity to work for an independent and privately owned Family Office Services provider, based in Jersey and supporting clients all over the world. The Role

The Client Operations team plays a crucial role to the running of the business, taking responsibility for the first-class service delivery in onboarding, data management, regulatory reporting, screening, reviews and risk management to their clients and administration teams and in doing so, ensuring their client facing administration teams can deliver a premium service to their clients.

They are expanding the team and in this new role you will be responsible for management of their client and banking related data and will assist with the supervision and development of a small team within the client operations function. You will help to define their data management processes and oversee their successful implementation, collaborating with stakeholders across the business. As part of the broader client operations team, you will also provide cover for the manager and support with periodic reviews, screening, client onboarding and other operational projects as needed.

 

Key Responsibilities

 

Data and Banking

• Oversight/keying in data at onboarding stage.

• Data input/amendment for banking information.

• Coordinating updates to the list of authorised signatories and communication of changes to bank mandates to the relevant banks (6 monthly project).

• Data entry oversight for register changes and client data.

• Identify and escalate potential improvements to processes.

Developing Others

• Supervise and support junior colleagues on the team in respect of day-to-day activities, policies and procedures, time management or prioritisation.

• Management of the workflow of junior team members to include delegating and reviewing all out going correspondence.

• Assist with and if appropriate conduct appraisals for direct reporting team members.

Periodic Reviews and Client Onboarding

• Support with statutory periodic reviews, which includes reviewing due diligence documentation in line with AML / CFT Handbook and any connected data updates that may result.

• Support with performing risk assessments.

• Raise outstanding periodic review points for completion by client teams.

• Support and liaise with client teams prior to completion of periodic reviews.

Requirements Qualifications

• A good academic background, with a minimum of a table 4 qualification, e.g., ICSA Diploma, STEP Diploma, Accountancy.

 

Knowledge and Experience

 

• A minimum of 6 years’ relevant industry experience, in administration, compliance, client operations or a similar field.

• Experience of developing and coaching others.

• Experience of data control/management processes and systems.

• A sound knowledge of Microsoft Office.
