Job Description
We are looking for someone who enjoys working in a fast paced environment, is highly organised, can work with little guidance and is client focused, whilst ensuring the smooth running of the busy office of a top tier global professional services group.
Your Role:
Effectively manage the filing, incoming and outgoing post, archiving and safe custody ensuring an efficient and high-quality service is provided to all departments in accordance with service standards
Manage and oversee any facilities matters that need addressing, liaising with service providers and landlords
Manage board reporting and assist with budgeting requirements
Manage systems and processes used within the operational and facilities functions, identifying efficiencies and improvements where appropriate and maintaining procedures accordingly
Play a key role in the communication framework and hold regular team meetings to cascade management communications and identify issues from employees, ensuring there is a good two-way communication
Ensure health and safety / fire evacuation procedures and guidelines are implemented and adhered to
Manage operational/facilities projects
Coach and assist with the development and training of the team
Ensure compliance with company standards, policies and procedures
Assist with other ad-hoc operational/facility duties that may arise
What will you need to succeed in this role?
Excellent communication skills
Highly proficient IT skills and a quick learning
Comprehensive experience of operational/facilities processes within a fiduciary or similar environment
Good working knowledge of NAV (desirable)
