Overview of role

The role has a high profile within the financial services industry, demanding an individual with excellent administrative, communication, organisational and interpersonal skills.

In addition, they will need to have a solid understanding of key legislative and regulatory frameworks and their impact on the financial services sector.

The post holder should have relevant experience in a professional role and will need to be able to operate as part of a highly focused team dealing with a wide range of issues to ensure Jersey’s finance industry continues to develop and thrive through the efforts of this representative body.

The successful candidate will be involved in matters across the entire financial services spectrum but will have a particular focus on the Island’s fintech agenda.

Whilst specific fintech experience is not essential for this role, the post-holder will be expected to develop a good understanding of how financial and related professional services businesses are currently utilising technology and where future opportunities and innovations lie, as well as confidently engage in discussions with various stakeholders on this subject matter. Therefore, demonstrating a keen interest in this subject area as well as a willingness to learn will be important.

The individual will develop close working relationships with key figures in industry, government and the regulator, benefitting from their insight, having the opportunity to influence decision- makers on matters of legislative and regulatory policy and being a primary point of contact in respect of the finance industry’s sustainable finance evolution.

Ideal Candidate Profile

1. An individual with a professional qualification and relevant experience in a professional role, preferably with experience in dealing with digital developments affecting the financial services industry.

2. The ability to assimilate complex issues and articulate these in an appropriate fashion to different audiences.

3. Strong organisational and administrative skills with the ability to manage challenging projects within predetermined timescales dealing with multiple stakeholders.

4. Excellent interpersonal skills, with the ability to articulate clearly and accurately in both written and verbal forms.

5. A strong team player but capable of working on own initiative.

Principal Accountabilities

• Prepare detailed reports and business plans on a variety of strategic matters based on research, practitioner feedback and professional input.

• Act as a focal point for communication between industry, regulator, Government and Digital Jersey particularly in respect of the Island’s fintech agenda.

• Assist the Leadership Team in representing the industry (with others) in discussions with stakeholders on the development of legislation and regulation to meet the needs of the financial services industry.

• Conduct focused research on relevant business, legislative and regulatory issues and prepare high quality reports for internal and external stakeholders.

• Effectively manage and co-ordinate multiple concurrent workstreams to ensure delivery timeframes and outcomes are achieved.

• Prepare terms of reference and scope of work documents for professional advisers. Receive suitable tenders and make objective recommendations.

• Monitor development in other jurisdictions on business, legislative and regulatory matters affecting the financial services industry.

Document Automation Specialist

We are looking to recruit a Document Automation Specialist to join our Knowledge Management team. In this role you will carry out day to day automation work, maintaining the flow of projects and working with our knowledge lawyers and wider department. You will be an expert in Contract Express, whose expertise extends beyond document creation and maintenance to look at integration with existing systems and workflow.

In this role, you will:

• Work closely with subject matter experts on document automation projects.

• Attend to document automation support requests.

• Complete administrative tasks pertaining to the efficient management and maintenance of the document automation service.

• Work with other teams, such as IT, to build document automation solutions.

• Build and maintain key relationships in the business ensuring clients experience an engaging, professional, and efficient service.

• Assist in building and maintaining a document automation knowledge base.

• Support system upgrades as and when required.

• Maintain test scripts and requirement documentation.

• Ensure the necessary analysis and impact assessment is carried out prior to committing changes to live automated templated.

• Keep abreast of activity in the document automation space.

About you – essential requirements

• Working knowledge of document automation using Contract Express.

• Experience of working on complex automation projects, showing a structured and methodical approach.

• Demonstrates understanding of best practice.

• Can support people with patience and confidence to ensure business needs are met whilst adhering to document automation processes and procedures.

• Ability to familiarise yourself with existing automated templates, in order to apply updates with efficiency and accuracy.

• Organised, ensuring all administrative tasks relating to the management of templates and support requests are undertaken with efficiency and diligence.

• Proactive, using initiative to make suggestions for improvement and bringing further efficiencies.

• Ensure work is completed in a timely manner, whilst adapting to changing priorities as required.

• A team player who is able to work with people at all levels, showing the ability to adjust to different audiences, but also comfortable working independently when required.

• Experienced in supporting the on-boarding of other template developers.

Business Controls Senior Manager, Global Operations

You will report directly to the Head of Business Controls, within the Global Operations Team.

You will work closely with the Head of Business Controls on the development and maintenance of a global framework of policies, procedures and processes for Mourant Governance Services. Our aim is to empower our teams, by ensuring they have the tools and knowledge to feel supported and confident in their roles.

About the role

• Review, update and develop policies and procedures for MourantGS in each of our operating jurisdictions. This will involve both independent research and working collaboratively with the management team in each jurisdiction, to ensure that our policies and procedures are clear, effective and fully compliant with applicable legal and regulatory requirements

• Ensure compliance with our governance processes for the approval of policies and procedures, including taking responsibility for the management of our Policies and Procedures Committees

• Support and lead projects to develop new services in reaction to client opportunities, regulatory change or service line development, in particular in relation to the development of fund services solutions

• Analyse and map new legal and regulatory requirements (working closely with MourantGS In-House Counsel), to secure our compliance culture and identify areas where new or improved policies and procedures are required

• Provide or arrange relevant training for the MourantGS team on our policies and procedures, so that the team are familiar with our controls framework and have the opportunity to ask questions

• Manage templates, checklists and processes across the business, so that these are up- to-date and as consistent and easy to use as possible; taking advantage of technology solutions (such as document automation) where appropriate

• Assist the Head of Business Controls to proactively identify and assess risks and controls; ensuring that the correct framework is in place across the MourantGS business to protect our business and enhance client service delivery

• Work with our Business Services teams (such as Risk and Compliance and HR) in connection with their policies and procedures, to ensure a joined up approach to legal and regulatory compliance

• Receive, review and implement feedback requests from team members in each jurisdiction, recognising that this feedback is vital for our policies and procedures to remain user-friendly and effective

• Identify and implement workflow and process improvements across the business to drive efficiency, alongside the rest of the Global Operations Team

• Keep abreast of relevant legal and regulatory changes and industry standards, to drive continuous improvement.

About you - essential requirements

• You should be educated to degree level or equivalent, preferably with a legal qualification but a relevant governance, compliance or accounting qualification would also be considered.Ideally you should have at least 5 years' experience in a relevant role at a regulated business or have a legal background with experience of advising corporate services businesses

• In addition to excellent written and verbal skills, and technical knowledge of best practice when it comes to drafting policies and procedures, we're looking for someone who has a genuine desire to help and support people

• You should be able to demonstrate a focus on client service and high ethical standards, as we'll be relying on you to help keep our business and teams operating in a safe and compliant way. This role also involves significant attention to detail and highly developed analytical skills

• You should be comfortable working as part of a team, as well as independently – taking charge of your own workload and proactively suggesting areas you'd like to get involved with

• An interest in technology (such as enthusiasm for using new systems) is also advantageous.

Knowledge Operations Manager

We've an exciting opportunity for an Knowledge Operations Manager in our busy Knowledge Management team.

This role will manage and lead a team of KM professionals, whilst driving forward the development and adoption of our knowledge systems. Through engaging with end users, understanding knowledge needs and advising how knowledge tools can deliver excellent KM Support.

About the role

• Manage the Knowledge Management (KM) Operations team, ensuring all team members are appropriately trained to deliver excellent KM support and customer service.

• Participate in the preparation, forecasting and ongoing management of the Department’s Annual Budget.

• Provide a range of current awareness updates to fee-earners, in conjunction with the PSLs.

• Help to capture, organise and provide easy access to relevant knowledge for teams.

• Provide access and training on relevant research resources and provide induction support to new starters.

• Maintain supplier relationships and act as the first point of contact for all KM procurement requests, maintaining budget spend reports and advising on de- duplication.

• Develop a good knowledge of practice areas and jurisdictions and building up subject matter expertise.

• Collaborate with other business services teams to deliver the Firm's strategy in relation to knowledge, people and client agendas.

• Support the delivery and capture of "share your knowledge" sessions across the Firm.

• Support and cover for the absences of other members of the KM team to support business continuity for internal and external clients.

About you - essential requirements

• Experience in a similar role with an international law firm (onshore or offshore).

• Good practical understanding of emerging technologies and their use in law firms.

• Knowledge of new methodologies in law firm knowledge management and continuous improvement.

• Experience of undertaking research on behalf of legal teams and business development.

• Effective communication skills and personal presentation.

• Excellent organisational skills, enabling adherence to tight deadlines with minimum supervision.

• Ability to travel globally to meet the needs of the role and internal clients.

• Excellent interpersonal skills and the ability to work both independently and as part of a team.
